Annual leave for 2025 must be applied for by Mon 8 Dec

The deadline for booking annual leave in 2025 is fast approaching. Read our round-up of what you need to know in relation to annual leave entitlement and booking annual leave before the end of this year.

Annual Leave Deadline fast approaching!

Your key dates, in relation to annual leave, are detailed below:

Date Detail
Monday 8 December 2025 All annual leave being taken in 2025 must be applied for by this date
Tuesday 9th December 2025 All leave requests must be approved by your Line Manager no later than this date
Wednesday 10 December 2025 Kelio Admin will calculate your remaining Annual Leave entitlement, and this will be manually transferred to your 2026 balance
Thursday 1 January 2026 Your 2026 balance will be shown in Kelio. Any annual leave pre-booked for 2026 will be reflected in your 2026 leave balance

 

Important points of note:

  • Annual leave booked and approved after Tuesday 9 December 2025, that the Kelio Admin team are not notified about, will result in a negative annual leave balance being shown within Kelio. These additional days will not be deducted from the employees 2026 balance (as the carried forward work has already been completed), resulting in employees receiving additional annual leave days in 2026, for which they are not entitled.
  • Leave pre-booked now for 2026 will not be taken from your 2025 leave balance. Please consider this should you be looking to use any carried forward leave to cover 2026 days.
  • Should a service / manager require unused 2025 annual leave to not be added to an employee’s 2026 Annual Leave entitlement, please contact the Kelio Admin team and we can arrange for this balance to be removed.

You will continue to have the below-mentioned categories of leave available to book for 2026. The Annual Leave category will include your 2026 Annual Leave entitlement and, where applicable, any leave you carry over from 2025.

Please take note of when these categories of leave should be used by:

2026 Bought hourly annual leave (where applicable) Should be used prior to normal annual leave entitlement, subject to any annual leave carried forward from 2025

 

Further points of note:

Bought Annual Leave

  • BAL is not added to your Annual Leave total. Your BAL total can be viewed separately via your estimated balances.
  • Any remaining 2025 Bought Annual Leave will not be carried over to 2026.
  • Where applicable, your 2025 Bought Annual Leave entitlement (up to 5 days) must be taken prior to normal annual leave entitlement, subject to any annual leave carried forward from the previous leave year.

TOIL / Flexi

  • Where applicable, TOIL and Flexi Leave is unaffected and will automatically carry over from 2025 to 2026. Please note that the normal rules around end-of-month flexi cut-offs will still apply.

Authorised Absence

  • The Authorised Absence applied as a half day on Wednesday 31 December is applied to all Kelio users due to work that day and will only be removed for those individuals / services that advise us to do so each year. Please therefore, where applicable, contact the Kelio Admin team and we can arrange for this half day to be removed.
  • For any Kelio users who have the authorised absence applied within their Kelio leave calendar who then subsequently clock in during that absence, the system will automatically credit the employee with appropriate flexi time.
  • For any Kelio users who have the authorised absence applied within their Kelio leave calendar who do not clock in, the Kelio user will be required to add in their clockings retrospectively manually and once these are validated by their line manager, the system will automatically credit the employee with appropriate flexi time.

Public Holidays

  • If your leave is in HOURS (as opposed to DAYS) you MUST manually book Public Holidays as Hourly Annual Leave. These Public Holidays are included in your leave entitlement, however, are not automatically assigned by the system. If the day that the Public Holiday falls is a non-working day for you, then no action is required. If Public Holidays are not booked, this will impact on your flexi balance.
  • Christmas Day and Boxing Day are Public Holidays, therefore if your leave is in HOURS (as opposed to DAYS) you MUST manually book these days as Hourly Annual Leave.
  • If you are on sick leave on days that are flagged as Public Holidays, you will not receive this time back as leave/flexi/TOIL when you return.
